We are looking for a Contract Administrator (Events) for our business GABS Beer & Spirits Festival.
The employee will report to the Events Manager and will be responsible for the following:
- Develop, review, and negotiate variations to event contracts and supplier agreements to accommodate changing event requirements.
- Develop and manage partner contracts and be knowledgeable in partners’ product, company and industry
- Coordinated the development, review, and adjustment of event plans, service agreements, schedules, and logistical arrangements
- Responded to stakeholder, supplier, and attendee enquiries, resolving issues related to event services, logistics, and participant needs
- Managed event documentation, including contracts, schedules, permits, run sheets, and compliance paperwork
- Collaborated closely with Event Manager, venue staff, suppliers, technical teams, and key stakeholders to ensure event objectives were achieved
- Provide regular updates and recommendations to senior event leadership, supporting decision‑making and implementing approved actions
- Supervise contractors and suppliers during event setup, delivery, and pack‑down, reporting on changes or variations to agreed services
- Prepare and reviewed event submissions, briefs, post‑event reports, and operational summaries
- Collect and analysed event data, including attendance, feedback, and performance metrics, to evaluate outcomes and identify improvements
- Assisted with planning and coordinating office or onsite event workspaces, including relocation or setup of temporary event offices
- You will be responsible for securing new and exciting content, with high consumer and audience appeal, and organising all elements of the delivery of the partnership elements of the GABS events. Whilst nurturing relationships, managing suppliers, contracts and providing positive outcomes for all stakeholders, ensuring projects are delivered within budget and on time.
- Manage promoting of the show, event or function to potential customers. Do website and social media updates related to event promotion and partner content and timetables.
- Coordinate and send complimentary tickets / ticket offers to contractors and partners.
- Build and maintain strong, lasting relationships with all stakeholders.
- High attention to detail, organised and the ability to multitask under pressure and work on a number of campaigns simultaneously
- Ability to problem solve that contributes to productive and creative outcomes
- Proficient in Outlook, META, Google, ********** and related event organiser software
- Demonstrate time management skills, including the ability to prioritise tasks and to meet deadlines on time and on budget
- Pro-active, self-motivating and accountable
- Ability to travel interstate and work variable hours when required
Hybrid role - must be based in Sydney/ Central Coast / Newcastle
