• Engineered Heavy Lift & Haulage: Management and transport of abnormal and oversized loads, navigating complex routes and isolated sites.
• Rail & Transportation: Delivery of rolling stock (locomotives), track machinery, and rail infrastructure.
• Turnkey Global Freight: General freight forwarding, customs clearance, and ad-hoc services to support greenfield/brownfield projects
Key Responsibilities:
• Oversee daily office operations, ensuring smooth delivery of all services in adherence to government legislation and company service standards and procedures.• Develop, implement, and refine office systems, workflows, and documentation processes to enhance productivity and efficiency.• Allocate and supervise staff resources, assign tasks, monitor performance, and arranging relevant training and support to staff where needed.• Coordinate internal communication between departments transport and logistics, and liaise with customers and external stakeholders, including suppliers, logistics partners, service providers, and government bodies.• Manage financial and administrative records, including invoicing, quotations, reconciliations, petty cash, and expense tracking using tools such as MYOB and Excel.• Ensure compliance with occupational health and safety standards and relevant legislative requirements, conducting regular reviews and maintaining safety records.• Support HR functions including employee records, onboarding, leave tracking, and basic contract administration.• Coordinate meetings, schedules, bookings, and provide high-level administrative support to senior management.
Skills, Licencing & Experience:
To succeed in this role, you must have:
• Bachelor’s degree in commerce or business management• Minimum 1 year of experience as an Office Manager, preferably within a Transport industry Management (or equivalent experience).• Fluent English speaker – essential for effective communication with Westlink Logistics customers, team members and stakeholders.• Proficiency in English speaking, reading, writing, and listening.• High proficiency in administrative software such asMicrosoft Office Suite, MYOB, and others.• Excellent organisational, leadership, multitasking, and communication skills.• Familiarity with transport logistics • High level of honesty, integrity, reliability, and confidentiality.• Ability to work effectively both independently and collaboratively.
