We help agencies navigate peak periods, compliance tasks, and operational challenges without the commitment of full-time staff. We provide access to a trained team of virtual assistants in the Philippines, offering expert support in property management, strata, accounts, and administration.

Key Responsibilities

✅ Office & Operations Management

Plan, review, and improve office services while setting priorities and service standards.

Allocate resources, including staff, office space, and equipment, to maximize efficiency.

Manage office records and accounts to ensure accuracy and compliance.

Oversee the maintenance of office equipment and ensure adequate supply levels.

Liaise with professionals to coordinate office operations and resolve issues.

✅ Staff Supervision & Human Resources

Assign tasks and monitor the performance of office staff and remote virtual assistants.

Coordinate personnel activities, including hiring, promotions, performance management, payroll, training, and supervision.

Develop and enforce office policies, workflows, and compliance procedures.

Maintain employee records, including personnel files, leave management, and performance tracking.

Ensure work practices comply with government regulations, company policies, and industry standards.

✅ Administrative & Executive Support

Screen phone calls, inquiries, and requests, handling them as appropriate.

Organize and maintain diaries, schedule appointments, and coordinate meetings.

Manage incoming emails and mail, and responding on behalf of management.

Conduct background research and present findings to support business decisions.

Prepare reports, briefing documents, and presentations for internal and client use.

Attend meetings and ensure the manager is well-prepared with necessary materials.

✅ Client & Business Liaison

Act as the primary contact for clients and employees.

Address client concerns promptly to uphold service standards and strengthen relationships.

Participate in strategic discussions that influence business operations and employee well-being.

Track key performance metrics and implement initiatives to improve efficiency and client satisfaction.

Travel to client offices across Victoria to provide on-site administrative and operational support.

Skills & Experience Required

✔️Minimum 2 years of Real Estate industry experience

✔️Agents Representative Certificate is essential

✔️Minimum 2 years of experience as an Office Manager

✔️Minimum 2 years hiring and training experience

✔️Strong leadership skills with experience managing large teams (30+ staff), including remote staff

✔️Willingness to commute up to 4 hours to rural locations.

✔️Availability to work 1 in 2 days on weekends

✔️Flexibility to conduct open for inspections after 5pm

✔️Excellent organizational and problem-solving abilities

✔️Initiative and attention to detail. Please use the word ‘bird’ in your application

✔️Advanced proficiency in Microsoft Office Suite, including mail merge, macros and databases

✔️Proficiency in real estate management software including Property Me, Property Tree, StrataMaster, Inspection Express etc.

✔️Ability to fluently speak professional-level Tagalog is preferred, as the role involves working with a team of virtual assistants based in the Philippines
